Using Computers
A number of computers have been installed in the office for a while but some staff are not making enough use of them to do their work efficiently. You have been asked to make recommendations about how to improve this situation. Discuss the situation together, and decide:
● why staff may not be using computers
● How to encourage staff to use computers more

A: You see, we’ve got so many computers in our office, but it seems that some staff are not using them enough and they’re not doing their work efficiently.
B: Yes, this is a situation that has to be improved. I think there are many reasons behind staff not using computers, such as lack of computer knowledge and skills.
A: And I’m afraid some people are just so used to traditional ways of doing things that they don’t want to learn anything new.
B: You’re right. Some may just be too lazy to try out computers.
A: As far as I know, some people have the unnecessary fear that there might be harmful radiation to human bodies.
B: So we need to do something to encourage staff to use computers more. First of all, I think we should arrange an in-house training program to help staff learn about computers and software packages so as to use them effectively.
A:Yeah. We should let them know about possible uses of computers which can benefit their life and work. For instance,E-mail and other connections, so they can understand the value of the computer. E-mail can be an effective book for reluctant staff.
B:We should also show them how computers can be used for all kinds of tasks, such as word processing, databases, spreadsheets, graphics, communications, etc., which relieve their work load. And they should be given chances to practice on their own.
A: The company should supply some technical people who will be available to give ongoing technical support to assist them in their use of computers.
B: As to the management, the line manager can do a daily memo on E-mail that staff must read if they are to receive information. This reduces use and meetings.
A:And all the documents and notices are circulated through the Intranent.
B: We can also improve the situation by making it a rule that all the paperwork should be typed and printed out.
A: You’re right. And they don’t have to worry about harmful radiation. These are all ergonomically designed computers with LCD displays. They are much safer and better than the traditional CRT and are low in radiation, with no flickering and low reflection.
B: Well, with all this, I’m sure we can get our staff hooked on computers in no time!
A: 你知道,我們已經(jīng)在辦公室安裝了多臺電腦,但是有些員工似乎并沒有充分使用而且他們的工作效率也沒有得到改善。
B: 是的這是一個必須改善的情況。我認為員工不肯使用電腦的背后有許多原因,比如缺少電腦知識和技巧。
A:而且我擔心一些員工只是使用傳統(tǒng)的方式做事而不愿學習任何新事物。
B:是的。一些人可能只是太懶惰不愿意嘗試使用電腦。
A:據(jù)我所知,一些員工關于電腦對人體的輻射傷害有一些不必要的恐懼。
B:因此我們需要做一些事情來鼓勵員工更多的使用電腦。首先,我認為我們應該安排內(nèi)部培訓計劃來幫助員工學習電腦和軟件包使他們更有效的運用。
A:是的。我們應該讓他們知道使用電腦可能對他們的生活和學習帶來益處。比如,郵件和其他聯(lián)系,因此他們能夠了解電腦的價值。郵件可以成為不愿使用的員工有效的教材。

A:而且所有的文件和通知都通過內(nèi)部網(wǎng)來傳播。
B: 我們也可以通過制定一個規(guī)則所有的文書應該輸入電腦并打印出來改善這種情況。
A:同意。而且他們沒必要擔心輻射的傷害。這些都是LCD顯示器符合人體工程學設計的計算機。他們是低輻射、無閃爍、低反射電腦,比傳統(tǒng)的CRT更加安全和優(yōu)秀。
B:是的。通過以上這些,我確信沒多久我們的員工就會迷上使用電腦。

It’s very useful. I use E-mail every day for most of my business communications.

Yes. I’m quite happy with my computer skills. I do all the paperwork on the computer and I can fix it myself when something goes wrong.

No, I don’t think so. At many companies, computer systems at work are not working as they should and the problem lies with people who do not have enough guidance about computers rather than the systems themselves.
(4) Should employees be responsible for developing their own computer skills?
員工是否應該自己負責培養(yǎng)電腦技能?(為什么?)
No. computer skills are important to raise efficiency and the development of employees’ computer skills can bring a lot of good to the company. So it’s the company that should be responsible for that.
(5) Are there any advantages of using the telephone instead of E-mail?(Why?/Why not?)
使用電話是否有勝過電子郵件之處?(為什么?)
Yes. Although many companies use a lot of E-mail, personal interaction is still important and phones are more personal and interactive than E-mail.
